Wedding Terms and Conditions Summary
Planning Your Special Day at The Hall Exeter
We want your wedding day to be perfect! Here's what you need to know about booking with us:
Booking & Payment
To secure your date, we'll need a 25% deposit
7-day cooling-off period after deposit for full refund
For weddings 6+ months away: Second payment of 25% due 6 months before, final 50% balance due 3 months before
For weddings less than 6 months away: 50% deposit required, final balance due 3 months before
For weddings less than 3 months away: Full payment required
We prefer payment by BACS transfer, or by card through our event portal if necessary
What's Included
Your booking includes an events coordinator, waiting staff, and bar team
The venue is yours exclusively during your hire period, until midnight (last orders 11:55pm)
We provide the venue, tables, chairs, technical equipment, and all drinks
Catering is not included - catering options available through Bel's Kitchen or bring your own food options
Capacity
Seated capacity varies by catering style:
Plated Service: Maximum 65
Family Style Sharing Plates: Maximum 75
Seated Buffet: Maximum 80
Standing Buffet/Party Food: Maximum 120
Bowl Food Buffet: Maximum 100
Canapés: Maximum 120
Maximum 120 guests standing
Damage Liability (No Deposit Required)
You are contractually liable for any damage to the venue caused by you, your guests, or suppliers
We strongly recommend wedding insurance that includes venue damage coverage
Any damage must be reported within 24 hours and will be invoiced for repair/replacement
Payment due within 14 days
Children & Safeguarding
After 9pm, children aged 1-12 must be accompanied by a registered childminder/nanny if they remain at the venue
We recommend a ratio of 1 registered childminder per 8 children
We strongly recommend children leave by 9pm unless childminding supervision has been arranged
Music & Entertainment
After 10pm, we move to our "Not-So-Silent" disco system
The PA continues at ambient conversation levels while headphones are available for the full party experience
This ensures music doesn't inhibit conversation while maintaining the party atmosphere
Acoustic drums are not permitted due to licensing and noise restrictions
Electronic drum kits are permitted subject to sound level management
Respecting Our Neighbours
The Hall is in a residential area. All guests must:
Leave quietly and considerately, especially after 10pm
Not loiter on Stepcote Hill or surrounding streets
Not leave litter or bottles on the street
Be respectful and courteous to neighbours, passers-by, and the public at all times
Keep noise to a minimum when arriving and departing
No drinks outside after 10pm
Alcohol Policy
All drinks must be purchased from our bar
Bringing your own alcohol into the building is not permitted except limited corkage (sparkling wine/champagne £20 per bottle, wine £14 per bottle)
No smoking or vaping inside the building - designated area outside only
Illegal drugs strictly prohibited
16-17 year olds may drink beer, wine or cider (not spirits) with a meal if accompanied by an adult who purchases it
Venue Policies
Only biodegradable flower petals permitted as confetti
No glitter, fireworks, Chinese lanterns, or indoor sparklers
All suppliers (DJs, photographers, florists, etc.) must have valid public liability insurance
Proof of insurance required at least 6 weeks before your wedding
Due to our location on Stepcote Hill, we have specific accessibility considerations - please contact us to discuss
Civil Ceremonies
The Hall is licensed for civil marriages and civil partnerships
You must book the registrar separately through Devon Registration Office
All registrar fees are paid directly to them
Insurance
Wedding insurance is required to protect against unexpected cancellations
Your insurance should also cover accidental damage to the venue
Parking & Access
No parking available at the venue
Plenty of public car parks nearby
We recommend pre-booking taxis or minibuses for your guests
